Terms of Service.
These terms govern your use of MintWire. Please read them together with our Privacy Policy and, where we process data on your behalf, our Data Processing Addendum. A plain-language overview is on the Legal page.
Effective date: 30 June 2026.
1. Who these terms are with
MintWire is operated by MintWire Tech OÜ, a private limited company registered in Estonia (registry code 11151989), registered office Peterburi tee 90f, 13816 Tallinn, Harju maakond, Estonia (“MintWire”, “we”, “us”). These Terms of Service (the “Terms”) form a binding agreement between MintWire and the business or person that registers for or uses the service (“you”, “Customer”). By creating an account, starting a trial, subscribing, or otherwise using the service, you accept these Terms. If you are accepting on behalf of an organisation, you confirm you have authority to bind it.
2. The service
MintWire provides software for customer-operations automation. The products available today are AI Receptionist (an AI phone receptionist, website chat, intake forms and email intake, with AI triage, an operator inbox, and optional add-ons such as Voice AI, Booking and Customer Memory) and Prospecting Autopilot (outbound prospecting with AI-drafted emails that you review and that are sent from your own mailbox). We may add, change, or discontinue features over time. We aim to keep the service available but do not guarantee uninterrupted operation.
3. Accounts and eligibility
The service is for business use. You must be at least 18 years old to enter into these Terms and to hold an account. You are responsible for the accuracy of your account information, for keeping your credentials secure, and for all activity under your account. You must promptly notify us of any unauthorised use.
4. Free trial
AI Receptionist plans (Starter and Pro) may be offered with a 14-day free trial. Chat-only plan trials (Starter and Pro) do not require a payment card to start; if no card is added by the end of the trial, the trial ends and the subscription is cancelled automatically with no charge. Plan bundles that include the Voice phone receptionist require a payment card at checkout. If you cancel before the trial ends, you are not charged; otherwise, where a card is on file, the plan converts to a paid monthly subscription automatically. Prospecting Autopilot has no trial: it is free to preview, and you pay only when you subscribe in order to send and export. Trials are for evaluation and may be modified or withdrawn for future sign-ups.
5. Fees, billing and cancellation
Plans, standalone products, paid add-ons and one-time top-ups are billed in US dollars through our payment processor, Stripe. Subscriptions renew automatically each month until cancelled. You can cancel at any time; cancellation stops the next renewal and your access continues until the end of the period already paid. Except where required by law, payments are non-refundable and we do not provide pro-rated refunds for partial periods. One-time purchases (such as voice-minute top-ups) are non-refundable once made, and consumed minutes are not refundable. Prices are exclusive of any taxes that may apply; you are responsible for such taxes other than taxes on our income. We may change prices on a prospective basis with notice; changes do not affect the period already paid. If a payment fails, we may suspend paid features until it is resolved. Billing questions: hello@mintwire.tech.
6. Your content and responsibilities
You are responsible for the business information and knowledge base you load, for the channels you connect, for the messages you send or approve, and for how you handle the customer data you capture. You represent that you have the rights and any necessary consents for the content and data you put into the service, and that your use complies with the laws that apply to you. You must not use the service to send unlawful, deceptive, infringing, harassing, or malicious content, to violate others’ rights, to attempt to breach security or tenant isolation, or in any way that could damage the service or other customers.
7. Outbound email (Prospecting Autopilot)
Prospecting Autopilot drafts emails for you and sends them from your own mailbox, only after you review and approve them. You are the sender. Every outreach email includes a working one-click unsubscribe, and unsubscribed and bounced addresses are suppressed. You are solely responsible for ensuring your outreach is lawful where you and your recipients are located — including anti-spam, e-privacy, direct-marketing and consent rules (for example the GDPR/ePrivacy framework, the US CAN-SPAM Act, and similar laws). Where the law requires it (for example under CAN-SPAM), you must include a valid physical postal address and accurate sender and subject information in your messages, must not use deceptive content, and must honour opt-outs promptly. You remain the controller of your outreach data and recipient lists. We provide tools to help with compliance but do not warrant that your specific use is compliant.
8. Voice AI and phone add-on
The Voice AI phone receptionist answers calls and responds from the knowledge base and setup you configure. Phone numbers are provisioned through third-party telephony providers; numbers for some countries require identity/KYC steps and may take time. Where calls are processed, summarised, or transcribed, you are responsible for providing any notices and obtaining any consents that the law of the relevant jurisdiction requires for AI handling and for call recording or transcription. Voice usage is metered: each plan includes a monthly pool of minutes, after which top-up packs apply. Numbers and minutes depend on the third-party providers and may be subject to their availability and terms.
9. AI output and AI training
Parts of the service use artificial intelligence. AI output can be inaccurate or incomplete and must not be relied on as professional advice. MintWire answers from the knowledge base and setup you provide; customer-facing replies and internal triage notes are kept separate, and sensitive steps are designed to route to a person. You are responsible for reviewing AI output before you rely on it or send it to customers. We do not use your Service Data to train our own AI models, and the AI provider we use does not train its models on data sent through its API in the ordinary course; see the Privacy Policy.
10. Customer data and privacy
Our handling of personal data is described in the Privacy Policy, which is part of these Terms. For personal data of your own end-customers and prospects that you process through the service, MintWire acts as your processor and processes that data on your instructions to provide the service; our Data Processing Addendum applies to that processing. Each business’s data is isolated from other tenants.
11. Third-party services
The service relies on, and can integrate with, third-party services (for example payment, hosting, AI, telephony, email delivery and calendar providers). Your use of a connected third-party service is also subject to that provider’s terms, and we are not responsible for third-party services we do not control.
12. Intellectual property
We and our licensors own the service, including its software, design and trademarks. We grant you a limited, non-exclusive, non-transferable right to use the service during your subscription. You retain ownership of the content and data you provide; you grant us the rights needed to host and process it to operate the service. You may not copy, resell, reverse-engineer, or create derivative works of the service except as permitted by law.
13. Warranties, disclaimers and availability
The service is provided “as is” and “as available”. To the maximum extent permitted by law, we disclaim all implied warranties, including merchantability, fitness for a particular purpose, and non-infringement, and we do not warrant that the service will be uninterrupted, error-free, or that AI output will be accurate. We do not provide a contractual uptime or service-level commitment unless separately agreed in writing. Nothing in these Terms limits rights that cannot be limited under mandatory law.
14. Limitation of liability
To the maximum extent permitted by law, neither party is liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, data, or goodwill. Each party’s total aggregate liability arising out of or related to the service is limited to the greater of (a) the amount you paid to MintWire for the service in the 12 months before the event giving rise to the claim and (b) USD 100. These exclusions and limits do not apply to: liability that cannot be excluded under mandatory law; death or personal injury caused by negligence; fraud or wilful misconduct; or a party’s indemnification obligations under section 15.
15. Indemnity
You will defend and indemnify MintWire against third-party claims arising from your content, your outreach and recipient lists, your data handling, or your breach of these Terms or of applicable law.
16. Suspension and termination
You may stop using the service and cancel at any time. We may suspend or terminate access if you breach these Terms, fail to pay, or use the service in a way that creates legal risk or harms the service or others. On termination, your right to use the service ends; we will make your data available for export for a reasonable period (normally up to 30 days) where practicable, after which it may be deleted as described in the Privacy Policy and Data Processing Addendum.
17. Changes
We may update these Terms from time to time. If we make material changes, we will update the effective date and, where appropriate, notify you. Your continued use after changes take effect means you accept the updated Terms.
18. Governing law and disputes
These Terms are governed by the laws of Estonia, without regard to conflict-of-law rules, and the courts of Estonia have jurisdiction over disputes — except that (a) mandatory consumer-protection law may give you the right to bring proceedings in your place of residence, and (b) if you are a business established in the United States, you and MintWire may instead agree in writing to resolve a dispute under the law and courts of your principal place of business. We will both try to resolve disputes informally first by contacting hello@mintwire.tech.
19. General
These Terms, together with the Privacy Policy, the Data Processing Addendum and your checkout terms, are the entire agreement between us regarding the service. If any provision is held unenforceable, the rest remains in effect. Our failure to enforce a provision is not a waiver. You may not assign these Terms without our consent; we may assign them to an affiliate or successor. Neither party is liable for delays caused by events beyond its reasonable control. Notices to you may be given in-product or by email; notices to us go to hello@mintwire.tech.
